5. LinkedIn
We aim to regularly inform you about current developments of the project making use of the social network LinkedIn Ireland Unlimited Company, Wilton Place, Dublin 2, Ireland, hereinafter referred to as “LinkedIn”. Please note, that you use this service and its functions on your own responsibility. This applies in particular to the use of interactive functions (e.g. share, rate).
We have no influence neither on the type nor the scope of the data processed by LinkedIn. We do not gain full access to such collected user data or any user profiles. We can only access public profile information. Which information you share publicly can be adjusted via your LinkedIn settings. In addition, you can actively hide your reactions to a post or unfollow the page via the LinkedIn settings. LinkedIn collects personal data of the user, e.g. via cookies. Such collection of user data by LinkedIn can also occur even if the user is not logged in or registered at LinkedIn. LinkedIn provides the following anonymous statistics about the usage of our project-related LinkedIn page:
- Follower: number of persons following the page – including growth and development over a defined time frame
- Range: number of people who see a specific contribution; number of interactions on a post, e.g., which pieces of content initiate more engagement within the community than others.
Those statistics are used to steadily improve our LinkedIn online content and to better respond to the interests of our users. We cannot link statistical data with the profiles of our LinkedIn followers.
We only receive personal data via LinkedIn, if you actively transmit your data by sending a personal LinkedIn message. We use this data (e.g. name, surname) to respond to your query.
6. Nemesis Open Call Submission Portal
Information about data processing within the Nemesis Open Call submission procedure
Who is responsible for the processing of personal data?
The processing of personal data within the Nemesis Open Call submission and evaluation procedure is carried out by the Nemesis project coordinator together with the project partners involved in the evaluation of the Open Call, including EURICE as partner responsible for the management including operation and administration of the submission procedure.
The Open Call process includes the submission, evaluation and management of applications for Financial Support to Third Parties (FSTP) within the Nemesis project funded under the Horizon Europe programme.
Which sources and data are used?
If you submit an application within the Nemesis Open Call procedure via the submission portal on the Nemesis website, please note that personal data entered into the submission form and contained in uploaded application/supporting documents will be processed.
This may include in particular:
- first and last name,
- email address,
- telephone number,
- postal address,
- organisation and organisational role/function,
- gender information (optional),
- proposal/application content,
- applicant declarations,
- proof of access to the experimental site,
- and potentially signatures or other applicant-related information contained in uploaded files.
In addition, certain technical data may be processed in connection with the operation and security of the submission system, such as server logs, IP addresses, timestamps and technical metadata.
The website is hosted via IONOS. Form submissions are transmitted to the Open Call mailbox (opencalls@nemesis-soil.eu) and may subsequently be forwarded to additional recipients involved in the Open Call management and evaluation procedure.
Applicants are requested not to upload unnecessary sensitive personal data within proposal/supporting documents.
Why do we process your data (purpose of processing) and what is the legal basis?
Personal data are processed for the purposes of:
- submission and handling of applications,
- evaluation of proposals,
- communication with applicants,
- conflict-of-interest checks,
- preparation and management of sub-grant agreements,
- statistical and reporting purposes related to the Open Call,
- and fulfilment of applicable documentation and accountability obligations connected to the Nemesis project and the related EU funding framework.
The primary legal basis for processing is Art. 6(1)(f) GDPR (legitimate interest), namely the legitimate interest in organising, managing, documenting and ensuring a fair and transparent Open Call and evaluation procedure.
For successful applicants, certain processing activities related to the preparation and conclusion of sub-grant agreements may additionally be based on Art. 6(1)(b) GDPR (steps prior to entering into a contract).
Where applicable legal or audit obligations arise from the relevant EU funding framework, processing may additionally take place on the basis of Art. 6(1)(c) GDPR.
Who will receive my data?
For the purposes described above, personal data may be made available to:
- the Nemesis project coordinator,
- EURICE as partner involved in the Open Call management and evaluation process,
- consortium partners involved in the evaluation and monitoring process (e.g. Living Lab Leaders and internal reviewers),
- external evaluators/reviewers,
- and administrative/technical support involved in operating the submission process.
The identities of specific evaluators/reviewers may vary depending on conflict-of-interest assessments, availabilities and the subject matter of the proposal.
The website hosting environment is operated by IONOS.
Form submissions and uploaded documents may be made available to recipients involved in the management and evaluation of the Open Call procedure, including relevant project partners and evaluators where necessary for the assessment and administration of applications.
How long will my data be stored?
Personal data and related application/supporting documentation will generally be retained for the duration necessary to complete the Open Call procedure, including:
- evaluation and award procedures,
- communication and follow-up related to the Open Call,
- documentation and reporting activities,
- and applicable audit/accountability obligations connected to the Nemesis project and the related EU funding framework.
Retention logic
- Unsuccessful applications Personal data contained in unsuccessful, withdrawn or replaced applications will be retained for five (5) years after the end of the year of the call deadline.
- Successful applications / sub-grants Personal data contained in successful applications and in documents related to sub-grant preparation, implementation, reporting and payment will be retained for four (4) years after the end of the sub-grant implementation period or, if later, after the last financial/accounting operation related to the sub-grant has taken place, unless a longer retention period is required for audit, legal or regulatory purposes.
Where necessary, data may therefore be retained beyond the end of the Open Call procedure for documentation, audit or legal purposes.
Will my data be transmitted to a third country or international organisation?
According to the current technical and organisational setup, no transfer of personal data to third countries (outside the EEA) or international organisations is intended.
Data processing takes place within the European Economic Area (EEA).
Which data protection rights do I have?
You have the right of access (Art. 15 GDPR), rectification (Art. 16 GDPR), erasure (Art. 17 GDPR), restriction of processing (Art. 18 GDPR), data portability (Art. 20 GDPR), and the right to object (Art. 21 GDPR), subject to the applicable legal conditions.
You also have the right to lodge a complaint with a supervisory authority (Art. 77 GDPR).
Am I obliged to provide my data?
You only have to provide those personal data that are necessary for the submission, evaluation and management of the Open Call procedure.
Without the required information and supporting documentation, applications cannot be processed or evaluated.
